Keep the paperwork of a small business in one place, from the phone in your pocket.
Records captured as things happen, sorted the way BAS and the tax return ask for them, and shared live with your accountant.
For business owners
Capture it as it happens
Photograph a receipt, upload a picture or PDF, or share one from email on Android. The date, business, ABN, total and GST are read for you to check. Log a trip from the car, and import your bank statement: lines you already have are skipped.
Sort in minutes, not weekends
Bank lines come grouped by merchant, ten groups at a time, biggest first. One choice files a whole group and is remembered, so the next statement mostly sorts itself. You see how far you’ve got, and can undo a slip.
Ready for BAS and tax time
Say once whether you’re registered for GST and how often you lodge. Then each BAS period shows its figures and due date, and Home reminds you when one is close. Income and expenses are laid out the way the tax return asks. Part-private costs, vehicles and equipment are claimed at their business share, and equipment is depreciated for you. Keep your working-from-home hours from your usual week, confirmed month by month. A gap in your bank statements shows up straight away.
From enquiry to paid
Take down a job request with the customer’s details and a sketch or photos. Send a quote with the drawing on it. When they accept, signing on the tablet if you like, invoice a deposit, progress payments and the balance, each worked out from the quote.
Your accountant sees it live
Give your accountant or bookkeeper their own sign-in, read only or able to make changes, area by area. There’s nothing to email. Every list exports to Excel, a year-end pack puts the year’s figures and receipts in one download, and everything exports at once as one ZIP.
The list you’d lose on paper
A to-do list of your own beside the books: type a line, press Enter, tick it off. Give a task a project, a due date or a job, drag it into the order you’ll do it in, and hand one to whoever you share the account with. It goes in and out as todo.txt, so it isn’t locked in here.
Made for busy heads
One next step at a time. Everything saves as you go, so stopping part-way loses nothing. A typeface where numbers can’t be misread, calm colours if bright screens tire you, and lists as compact or as roomy as you like. Reminders for the things that lapse quietly, like a registration, a domain name or a fire inspection, show on Home a month before, with what to put away each month for the ones that cost money. Help sits behind the question mark on every page, with pictures and steps, and you can ask it a question in your own words. With no signal the app still opens, showing what you can use: add a receipt, write a task, and they’re sent when you’re back on.
Everything it does
Expenses: receipts and bills
- Photograph a receipt, upload a picture, or add a PDF. The details are read for you to check.
- On Android, share a PDF or photo from email or another app straight to a new receipt.
- No signal? Add receipts anyway. They wait on the phone and are filed when it’s back.
- Crop out the background before saving, so the record shows the receipt and nothing else.
- The ABN is checked against the Australian Business Register, which shows the registered name.
- File each receipt under a category and a job. Starter categories for trades, cleaning, creative and professional work come already matched to the tax return and GST.
- Flag receipts that need more work, with a note saying what.
- Receipts are listed a month at a time, and export to Excel.
- Every change is kept: see who changed a receipt, what, and when, even after it’s deleted.
- A warning before saving a receipt that looks like one already saved, so nothing is claimed twice.
- Add equipment to the asset register straight from its receipt.
Bank
- Import your bank’s CSV statement. Importing the same statement again adds only the new lines.
- Several accounts? Name each one, and work on one at a time. A file is recognised next time and offers the same account.
- Cash taken or spent is recorded from your phone in three taps, in an account called Cash, and behaves like any other line, receipt and all. It works with no signal.
- Money moved between your own accounts is offered as a pair to confirm, then counted once instead of twice.
- International transaction fees are paired with the purchase they belong to and take its category.
- Classify in groups, and your choices are remembered as rules for the next import.
- See who changed each line, and when.
- Match receipts to bank lines, and link any line to a job or the invoice it paid.
- Mark personal purchases made on the business account. They stay out of the business figures.
- Lines are grouped by month, with money in and out for each.
- Add a purchase to the asset register from its line.
Tax
- Tax settings: GST registration and from when, how often you lodge BAS, business structure and main activity.
- Dates follow your business’s own timezone, so “today” is your today, wherever your accountant is.
- Each financial year by tax return item, with the categories behind each figure.
- GST for each BAS period, monthly, quarterly or yearly, with its due date.
- A business-use share for part-private costs, such as a phone, applied to the cost and its GST.
- Record each BAS as lodged. Its period is then locked, so the figures you lodged stay put.
- Year-end details: opening and closing stock, what customers and suppliers owed, and payments to associated persons.
- A working-from-home log, filled in from your usual week and confirmed each month.
- Home shows roughly what to put aside for the BAS so far, from what’s sorted.
- Bills still to pay count once they’re paid, the way the cash basis asks.
- A check that each bank account’s lines follow on without a gap, with opening and closing balances.
- The whole year exports to one Excel workbook.
- A year-end pack for your accountant: the figures, a ledger of every line, and every receipt, in one download.
Jobs
- Keep each job’s dates, quoted price, description, photos and drawings together.
- Draw plans and sketches with a stylus or finger, over a photo or a grid.
- See what a job has cost and earned against its quote.
- Take down a request with the customer’s details, then quote it. Requests are listed apart from work that’s on.
Assets
- A register of your equipment, with the receipt and bank line that paid for it.
- Find an item by name, barcode or NFC tag, and add dated photos of its condition.
- Each year’s depreciation under the small business rules, included on the Tax page.
- Reminders for servicing, test and tag and warranties, each on its own repeat, shown on Home a month before.
Vehicles
- A logbook for each vehicle. Photograph the odometer and the reading is filled in.
- Other drivers log trips with their own sign-in or a QR code in the car.
- A 12-week logbook sets business use for five years, and only that share of the vehicle’s costs is claimed.
- Reminders for registration, insurance and servicing, shown on Home a month before.
Sales: quotes, invoices and receipts
- Build an invoice with GST worked out as you type, in your layout with your logo and payment details.
- Preview it, then issue it: it gets its number and is locked, so what the customer received never changes.
- Email it with your own wording, and mark it paid by linking the payment on the Bank page.
- Quote with the same lines and layout as your invoices, with the job’s sketches and photos on it.
- Mark a quote accepted, with the customer’s signature if you like, then invoice a deposit, progress payments and the balance.
- See what you’re owed on Home, and send a reminder already written, from your own email.
- Give a receipt for a sale already paid, in cash, by card or both, numbered in its own series and counted as income once it reaches the bank.
- Start typing an address and pick it from a list, on contacts, invoices, quotes and jobs.
- Paid in stages? Give a receipt for each payment on an invoice, a deposit, progress and the final payment, each showing what’s still owed. Paid in full, download the invoice as a receipt.
- Cash spent before it’s banked, or kept, still counts as income: say where a receipt’s cash went.
To-do
- Your own list, private to you, beside the books. Type it, press Enter, tick it off.
- Projects of your own naming, with colours, and every open job on the same list.
- Priorities, start and due dates, and drag into the order you’ll do them, between Active and Backlog.
- Hand a task to anyone who shares the account. They see who it came from and can hand it back.
- Import and export todo.txt, which other to-do apps read and write.
- Write and tick off tasks with no signal: they wait on the phone and are sent when it’s back.
- A scratchpad for anything that isn’t a task yet, and the next few tasks on Home.
- Works on what you have. Phone, tablet or computer, in the browser. Add it to your home screen to open it like an app.
- Help where you need it. Every page has its own help behind the question mark at the top, and the guide walks through the main jobs.
- Private by default. Receipt images are kept on our own server, not a public file host, and each account’s records are visible only to the people it’s shared with.
For accountants and bookkeepers
One sign-in, every client
Clients add you by the email you sign in with, and choose read only or changes for each area. Switch between clients from Home; you work in one at a time.
Figures laid out as the return and BAS ask
Income and expenses by business and professional items label, with the categories behind each figure. GST by BAS period at G1, 1A and 1B. Credits backed by a receipt or tax invoice are kept apart from 1/11 estimates, so you can see what’s evidenced. Counted on a cash basis, and it says so.
Completeness you can check
Each account’s running balance is followed day by day. A gap or a doubled line is flagged with its dates and amount. Opening and closing balances are shown to tie to the statement. Unclassified lines, unmapped categories and receipts in another currency are listed, never guessed. Cash is recorded in an account of its own, and money moved between the client’s accounts is paired, so it isn’t counted as income or spending.
The judgement calls, visible
Business-use shares by category, vehicle business use from a 12-week logbook, small business pool depreciation, and opening and closing stock adjusting cost of sales. Trade debtors come with the invoices unpaid at year end as a guide. Each shows where it applies.
The evidence behind a figure
Receipts are linked to the bank lines that paid them, with the image kept and the ABN checked against the Australian Business Register. Invoices are locked once issued, and those made from a quote point back to it, with the customer’s acceptance. Every change to a receipt, bank line, invoice, asset or lodged BAS is kept with who made it and when, and can’t be edited or removed. Everything exports to Excel, including a tax workbook with the same figures as the page.
Your client’s records stay theirs
Access is per client and per area, and the owner can change or remove it at any time. The owner can see who was given access, changed or removed, and when. What you can’t see isn’t counted in silently: the page says what’s left out. Everything exports as one ZIP, spreadsheets with the photos and PDFs, whenever the owner wants it.
